GoHighLevel for franchises: one system, every location

Free 30-minute call with a free account audit. Every price is a custom quote in writing. No obligation.

By Updated 12 min read

GoHighLevel for franchises works best as one agency account owned by the franchisor, with one sub-account per location. You build the lead follow-up system once as a snapshot, push it to every location, and keep each franchisee's contacts, phone numbers and texting registration inside their own sub-account. Two decisions cause most of the problems we see: who owns each location's data and numbers, and how corporate will see results across locations, because HighLevel's agency dashboards report revenue and usage, not leads. We checked every platform detail below against HighLevel's help center on October 27, 2026.

Should a franchise use one GoHighLevel sub-account per location or one shared account?

Most franchises should give every location its own GoHighLevel sub-account, because texting registration, phone numbers, reviews and calendars all attach to the sub-account. A single shared account with a "location" field only makes sense when one legal business runs a few branches with one team answering every lead.

VerdictDefault for franchises (separate owners, separate businesses)Fine for one owner with 2 to 4 branches and a shared front desk

The deciding question is ownership. If each location is a separate business with its own owner and tax ID, it needs its own sub-account, because its texting registration and its customer list belong to that business. If you are a single company with branches, the shared model can be simpler. Agencies weighing the same choice for clients can read our GoHighLevel for agencies guide.

What does the franchisor control and what does each franchisee own in GoHighLevel?

In a GoHighLevel franchise setup, the franchisor controls the system design and each franchisee owns the parts tied to their own business. Write this split into the franchise agreement or the operations manual before the first location goes live, because it decides what happens when a location sells or leaves.

Typical ownership split for a franchise on GoHighLevel. Platform facts from HighLevel help center, October 27, 2026; the split itself is our recommendation.
PieceUsually owned byWhy
Agency account and billingFranchisorThe agency account is where snapshots are built and pushed from; updates only reach sub-accounts inside that agency.
Master snapshot (pipelines, workflows, forms, templates)FranchisorThis is the brand standard. Locations should not edit snapshot-linked assets, because a later push can overwrite their edits.
Contacts and conversationsAgreed in the contractHighLevel snapshots never copy contacts, conversations or appointments, so this data only exists in the location's sub-account.
Phone numbersAgreed in the contractNumbers can move between sub-accounts in the same agency, but the texting registration does not move with them.
A2P brand and campaignThe location's legal businessThe registration names a legal business and its tax ID, and HighLevel ties the status to the sub-account.
Google Business ProfileUsually the franchisor, shared with the locationReviews are a brand asset; decide access before you connect it.
Payments (Stripe)The location's businessStripe connections are not copied by snapshots and must be connected per sub-account.

How do you push one GoHighLevel system to every franchise location?

You push one GoHighLevel system to every franchise location by building it in a template sub-account, saving it as a snapshot, loading it into each location, then refreshing and pushing the snapshot whenever corporate changes something. HighLevel's help center describes both steps.

  1. Build in a template sub-account, never in a live location. This is the version corporate edits.
  2. Save it as a snapshot from Agency View, Account Snapshots.
  3. Load it into the locations. HighLevel added a flow that loads one snapshot into several sub-accounts in one pass and lets you pick a default dashboard for all of them (article modified September 27, 2026).
  4. Finish what snapshots do not carry: each location's phone numbers, A2P registration, Stripe, Google and Facebook connections, users and its own contacts.
  5. When corporate changes the system, edit the template, click Refresh on the snapshot, then Push Update and choose the locations and the assets.
  6. Test on one pilot location first, then push to the rest.

Two warnings from HighLevel's own article are worth reading before you push to 40 locations. Updates only reach sub-accounts inside your own agency. And if a refresh removes steps from a workflow, HighLevel removes the contacts that were waiting on those steps, so a careless edit can drop leads out of a nurture sequence in every location at once. If a snapshot load stalls, our snapshot import fixes cover the usual causes. To switch features on or off for many locations at once, see bulk update sub-account features.

Does each franchise location need its own A2P 10DLC registration?

Each franchise location that texts customers in the US needs its own A2P registration in its own sub-account, because HighLevel ties registration status to the sub-account and the brand names one legal business. Moving a phone number to a new location does not move the approval with it.

The details that trip franchises up:

  • Separate franchisees, separate tax IDs. An independently owned location registers as its own brand with its own EIN, and the legal name must match the IRS record exactly.
  • Company-owned locations on one EIN. HighLevel's campaign guide says the same EIN can be registered for up to 10 brands, but it also lists an "Excessive EIN" rejection when carriers think one EIN has too many. Register only the brands you need, and ask HighLevel support before registering many locations under one tax ID.
  • Trade names. If the location texts under the franchise brand but its legal name is different, HighLevel's guide says to add a "We are doing DBA as" sentence to the campaign and make the website, privacy policy and opt-in text match.

Can the franchisor see reporting across all locations in GoHighLevel?

A franchisor cannot see leads, appointments and pipeline results across all locations in one native GoHighLevel report. The agency dashboard's summary tab shows revenue, recurring revenue and customer counts, and the reselling and AI usage views break down cost and usage by sub-account, but none rolls up sales activity.

We read HighLevel's agency dashboard summary article (modified August 17, 2026) and the related reporting articles on October 27, 2026. A feature request on HighLevel's ideas board asking for company-level logins with locations as filters, shared reporting and centralized reviews has 44 votes and was posted on July 26, 2024 (ideas board). That tells you other multi-location businesses hit the same wall.

The workable options, in the order we usually suggest them:

Ways to get cross-location reporting for a franchise on GoHighLevel.
OptionEffortWhat corporate gets
Same dashboard in every location (from the snapshot)LowComparable numbers, but someone opens each location to read them
Scheduled email reports per sub-accountLowA regular performance email per location from HighLevel's report scheduler
Workflow that posts each new lead and booked appointment to a central sheet or databaseMediumOne table of every location's leads and bookings, updated as they happen
API pull into a reporting toolHigherA true roll-up with speed-to-lead and conversion by location; mind the documented API limits

The workflow option is the one most franchises end up with, because it needs no extra software. For the API route, our GoHighLevel API guide lists the rate limits.

Who should be able to log in where?

Franchise staff should log in as Account-type users assigned to their own location only, and only corporate staff who manage the whole system should be Agency-type users. HighLevel's user model has two layers: the user type sets the scope, and the role (Admin or User) sets authority inside that scope.

Recommended GoHighLevel user setup for a franchise. Based on HighLevel's user roles and permissions articles, checked October 27, 2026.
PersonUser typeRoleAccess
Franchisor system ownerAgencyAdminAll locations, snapshots, billing
Corporate marketing or supportAccountAdminEvery location sub-account, no agency settings
Area or regional managerAccountAdmin or UserOnly the locations in their region
Location ownerAccountAdminTheir own location only
Location front desk or sales staffAccountUserTheir own location, with permissions limited to the jobs they do

HighLevel documents how to give someone several locations without agency access (help article). One practical limit for regional managers: the mobile app can ring calls from up to 10 locations at a time, and only for locations the user belongs to (article modified October 15, 2025).

Which GoHighLevel plan does a franchise need?

A franchise with more than three locations needs at least the Unlimited plan at $297 a month, because the Starter plan at $97 caps the agency at three sub-accounts. Agency Pro at $497 a month is the plan if the franchisor wants to bill locations for the software or mark up their texting costs.

  • Unlimited ($297): unlimited sub-accounts and rebilling of phone and email usage to each location without markup.
  • Agency Pro ($497): adds SaaS mode (automated sub-account creation and plan billing), rebilling with markup and advanced API access. See SaaS mode setup if you plan to charge franchisees a monthly tech fee.
  • Usage is per location: each sub-account pays for its own texts, calls, email and AI. Our SMS and email cost guide has the rates, and the plan comparison covers the rest.
  • Your brand on the app: if franchisees should see the franchise brand instead of HighLevel, add white label on your own domain.

Prices are from HighLevel's pricing page and change; confirm before you buy.

What franchise marketing automation should every location run?

Every franchise location should run the same five automations from the master snapshot: instant lead response, appointment reminders, no-show recovery, review requests and reactivation of past customers. These are the workflows where consistency across locations matters most, and they are easy to compare once every location runs the same version.

The core franchise workflow set, built once in the template and pushed to every location.
WorkflowWhy the franchisor standardizes itHow-to
Speed to leadSlow replies vary most between locationsSpeed to lead
Missed call text backBusy locations miss the most callsMissed call text back
Appointment remindersSame wording and timing across the brandReminders
No-show recoveryRecovers bookings without staff rememberingNo-show recovery
Review requestsEvery location builds its own Google ratingReview requests

Leave room for local variation in custom values (location name, address, booking link, owner name), not in the workflows themselves. HighLevel's push overwrites snapshot-linked assets, but custom values are per location, so this keeps local details safe when corporate pushes an update.

How do you roll out GoHighLevel to a franchise network?

Roll out GoHighLevel to a franchise network in waves: one pilot location first, then small batches, with the texting registration started early because it is the slowest step. A rollout that loads every location on day one usually spends the next month fixing the same problem 30 times.

  1. Week 1 to 2: decide structure and ownership, set up the agency account, write the user and access rules.
  2. Week 2 to 4: build the template sub-account and the five core workflows; test every path in the Execution Logs.
  3. Pilot: load the snapshot into one location, connect its number, A2P, calendar and Google profile, and run real leads for two weeks.
  4. Fix and refresh: change the template, refresh the snapshot, push to the pilot, confirm.
  5. Waves of 5 to 10 locations: load, connect, register A2P, train staff, check the first week of leads.
  6. Reporting: turn on the cross-location report you chose above before the second wave, not after the last one.

The timings are typical of our projects, not a HighLevel rule; a network with complex lead routing between locations takes longer. Our implementation process shows the deliverable at each step, and lead routing covers sending a lead to the nearest location.

What does a GoHighLevel franchise setup cost?

A GoHighLevel franchise setup with us is quoted per project, because the price depends mostly on the number of locations and whether leads route between them. For reference, a single-location build is $500 to $4,000 and a white label setup is $3,500 to $5,000, at the time of writing.

What moves a franchise quote: how many locations go live, whether the franchisor also wants SaaS billing, how many workflows differ by location type, and which reporting option you pick. HighLevel's own plan and usage fees are separate and paid to HighLevel. The first step is a free 30-minute call where we audit your current setup or plan on the call; book it on our contact page, or read what the GoHighLevel audit covers. Frequently asked questions about GoHighLevel for franchises

Is GoHighLevel good for franchises?

GoHighLevel is good for franchises that want one lead follow-up system run the same way in every location. Snapshots let the franchisor build once and push updates, and each location keeps its own numbers and contacts. The weak spot is corporate reporting: there is no native roll-up of leads across sub-accounts, so plan a reporting workflow before launch.

How many sub-accounts can a franchise have on GoHighLevel?

A franchise can have unlimited sub-accounts on GoHighLevel's Unlimited plan ($297 a month) or Agency Pro plan ($497 a month). The Starter plan at $97 a month allows three sub-accounts, which covers two or three locations at most once you keep one sub-account as a template. Prices were checked on HighLevel's pricing page in October 2026.

Can I update every franchise location at once in GoHighLevel?

You can update every franchise location at once in GoHighLevel by refreshing the snapshot and pushing the update to the sub-accounts you choose. The push overwrites assets that came from the snapshot, so local edits to those assets can be lost. Test the change on one pilot location first, and keep local details in custom values.

Can a franchisee see other locations' contacts in GoHighLevel?

A franchisee cannot see other locations' contacts in GoHighLevel when each location has its own sub-account and its staff are Account-type users assigned only to that location. Contacts stay inside the sub-account they belong to. Only Agency-type users, or Account users you assign to several locations, can move between them.

Do franchise locations share one phone number in GoHighLevel?

Franchise locations normally do not share one phone number in GoHighLevel; each location gets its own local number in its own sub-account, registered for texting under that location's business. A central call center can still answer for many locations, and the mobile app lets one user take calls from up to 10 locations they belong to.

Can the franchisor charge franchisees for GoHighLevel?

The franchisor can charge franchisees for GoHighLevel through SaaS mode on the Agency Pro plan, which bills each location for a software plan and can mark up texting and calling. On the Unlimited plan the franchisor can pass on usage costs at cost but not add a markup. Check your franchise agreement before adding a new monthly fee.

What happens to a location's data if a franchisee leaves?

What happens to a location's data when a franchisee leaves depends on your franchise agreement, so decide it before launch. In GoHighLevel the contacts, conversations and texting registration sit in that location's sub-account, which the agency can transfer or close. Phone numbers can move between sub-accounts in the same agency, but the texting approval stays behind.

How long does a GoHighLevel franchise rollout take?

A GoHighLevel franchise rollout usually takes four to six weeks for the template and pilot location, then about a week per wave of five to ten locations, in our experience. Texting registration is often the slowest part, because each location's business details must match its tax record exactly before carriers approve it.
